Who we are
OP Digital is a sole trader business based in Perth, Western Australia (ABN 18 418 098 248). We build and run websites, AI receptionists and follow-up systems for Australian businesses. In this policy, “we” and “us” means OP Digital.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). Questions about this policy go to sam@opdigital.com.au.
What we collect
You might fill in a form on Facebook or Instagram, fill in a form on this site, ring or text us, or sign up. When you do, we collect:
- Your name, mobile number and email address
- Your business name, and your website if you give it
- Your answers to the questions on the form, such as what your business does and how you handle enquiries now
- Your state or postcode, so we contact you at a sensible time where you are
- What you agree to, such as whether we may call you outside business hours
- What you say to us by text, email or phone, including call transcripts and summaries (see below)
- If you sign up, your billing details. Stripe takes your card. We never see or store the full card number.
When you visit this site, our tools also record things like the pages you view, the buttons you click, the ad that brought you here and your device type. See “Cookies and tracking”.
Forms on Facebook and Instagram are run by Meta. Meta passes your answers to us, and Meta's own privacy policy covers what it keeps.
How we use it
- To reply to your enquiry and book a call with Sam if you want one
- To set up and run our service if you sign up, and to bill you
- To tell you about our services. You can opt out at any time.
- To check which of our ads work, and to show our ads to people who visited but did not get in touch
- To keep records the law asks us to keep, such as tax records
We do not sell or rent your information, and we do not give it to anyone for their own marketing.
How we contact you
After you send us an enquiry, we may contact you by text, email or phone about it. Some of these messages are automated:
- An AI assistant may text you a few questions about your enquiry and, if it suits you, book a time for Sam to ring you.
- Our AI voice assistant answers our demo line, and rings you back only if you asked us for a callback. You are speaking with an AI, not a person.
- Sam may also text or ring you himself, including at a time you booked.
If you would rather deal with a person, say so in a reply or email sam@opdigital.com.au.
Reply STOP to any text from us and texts stop straight away. To stop everything, email sam@opdigital.com.auor tell us in any reply, in your own words. For anything other than STOP, we'll stop as soon as we can, and within 5 business days. You can also use the unsubscribe link in any marketing email.
Calls and transcripts
When you talk to our AI voice assistant, our phone system keeps a written transcript and a short summary of the call. Sam gets the summary by email so he can follow up. We use transcripts to follow up on your enquiry and to improve how the assistant answers.
The phone system may also keep an audio recording of the call.
Ask us and we will delete a transcript or recording of your call.
Who processes your data
We use these providers to run the business. Each one handles your information on our behalf:
- Meta (Facebook and Instagram): lead forms, the Meta pixel and the Conversions API, which tell us which ad brought you
- OpenAI (ChatGPT ads): the ChatGPT ads pixel and conversions service on our enquiries page, which tell us which ChatGPT ad brought you
- HighLevel (LeadConnector): our customer records, texts, emails, phone line, booking calendar, AI assistant and AI voice assistant
- AI model providers used through HighLevel, including OpenAI: they process the text of messages and calls so the assistants can understand and reply
- Anthropic and OpenAI: AI tools Sam uses to read, sort and follow up enquiries
- Google: our email (Google Workspace) and Google Analytics
- Stripe: payments
- Cloudflare: hosts this site and the system that receives our site forms
- Hetzner: hosts our own server, which keeps a copy of enquiries from Facebook and Instagram forms
- Telegram: sends Sam an instant alert about a new enquiry, with your contact details
- Microsoft Clarity: on our website offer page, shows us how visitors scroll and click
Each provider has its own privacy and security policies.
Information sent overseas
Most of these providers store information outside Australia. Your information may be stored or processed in the United States (Meta, HighLevel, OpenAI, Anthropic, Google, Stripe, Cloudflare and Microsoft), in Germany (our own server with Hetzner), in Ireland (Meta), and in the countries where Telegram runs its servers.
We use established providers that publish their own security and privacy commitments. By sending us an enquiry, you understand your information will be handled this way.
Cookies and tracking
- Meta pixel. It sets a cookie and tells Meta which pages you viewed and whether you sent a form. When you send a form on this site, we also send Meta a scrambled (hashed) copy of your name, mobile and email. Meta uses it to match the form to an ad, not to read your details.
- ChatGPT ads pixel (OpenAI), on our enquiries page only. It sets cookies and tells OpenAI whether you arrived from a ChatGPT ad and whether you sent the form. The pixel sends OpenAI a scrambled (hashed) copy of the name, mobile and email you enter, and we send OpenAI a record that a form was sent. OpenAI uses these to match the form to an ad, not to read your details.
- Google Analytics. It sets cookies and tells us how people find and use the site.
- Microsoft Clarity, on our website offer page only. It records clicks and scrolling.
- Our own counter. It counts page views and button clicks. It sets no cookie and collects no personal details.
You can turn these off. Block cookies in your browser, use an ad blocker, or change your ad preferences on Facebook or Instagram. The site still works.
Keeping it safe
Inside OP Digital, only Sam has access to your information. Our accounts are password-protected and we use providers with strong security.
We keep your information while we need it for the reasons in this policy, or while the law needs us to keep it, then we delete it.
Access and correction
You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it. Email sam@opdigital.com.au. We reply within 5 business days and finish most requests within 30 days. There is no charge.
Complaints
If you think we have mishandled your information, email sam@opdigital.com.au and tell us what happened. We will reply within 30 days.
If you are not happy with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We update this policy when what we do changes. The date at the top shows the last change. This policy is governed by the laws of Western Australia.
