Missed-call text-back or an AI receptionist? An honest answer

One catches the call after you have missed it. The other answers it so you never do. The second costs more than twice as much, and for most one-van operations it is the wrong first purchase. Here is how to tell which side of that line you are on.

The actual difference, in one paragraph

Missed-call text-back does nothing until you have already missed a call. The phone rings out, and seconds later the caller gets an SMS from your business asking what they need. You have not spoken to anyone. You have converted a lost call into a text conversation you can pick up in twenty minutes.

An AI receptionist answers the phone. It picks up, works out what the caller wants, answers questions it has been taught, and books the job into your calendar while you are still on the roof. Nothing gets missed because nothing rings out.

Which is why you do not buy both. If the receptionist answers on the first ring, there is no missed call for a text-back to catch. Why we tell most people to start with the cheaper one

The receptionist is more than double the price. That is a real gap, and the honest thing to say is that most one-van businesses do not need it yet.

At ten or fifteen missed calls a month, the text-back captures most of the available value. The caller gets an immediate response, they stop ringing your competitors, and you deal with a handful of texts over lunch. Adding a receptionist at that volume buys you the removal of a task that takes ten minutes a day.

There is a second reason, and it is the one people underestimate. A text-back cannot say anything wrong. It sends the message you approved, every time. An AI receptionist is having real conversations about your business with your customers, which means it needs to be taught properly and checked, and it is a bigger thing to get right. If you are not going to invest attention in that during setup, you will get more value from the simpler product.

The rough dividing line. Count your missed calls for two weeks and double it. Under about ten a month, the text-back is plenty. Over about thirty, the queue it creates is a job in itself and the receptionist starts to pay. In between, start cheap and upgrade if you find yourself drowning in replies. Both plans are month to month, so moving up costs you a conversation.

When the receptionist is genuinely the right call

Four situations where the extra money earns itself, rather than just feeling nicer.

  • Your callers will not text. If your customers skew older or the work is genuinely urgent, a text-back leaves value on the table. Some people will simply ring the next number rather than reply to an SMS.
  • Volume is high enough that replies pile up. Thirty missed calls a month is thirty text conversations. That is no longer a time-saver, it is a second job you have created for yourself.
  • Most calls are simple and repetitive. Do you service my suburb, what does a call-out cost, can you come Thursday. If most of your phone time is those three questions, an AI answers them perfectly every time and books the ones that qualify.
  • You are losing after-hours work. A text at 11pm gets read in the morning. A call answered at 11pm gets booked at 11pm. For emergency trades that difference is the whole margin.

The things nobody mentions about AI receptionists

We sell one, so take this as coming from someone with an interest, and weigh it anyway.

  • Some people hang up on an AI. Not most, and fewer every year, but some. The mitigation is making it easy to reach a human, which is what ours does. Anyone who tells you the hang-up rate is zero has not looked.
  • It is only as good as what it is taught. An agent that does not know your service area will confidently accept a job ninety minutes away. Setup is the work, and the products that skip it are the ones that disappoint.
  • Judge the voice with your own ears. Every agent on the market sounds different, and a phone voice that suits one business is the wrong feel for another. Ring it and decide for yourself before you buy.

Common questions

Can I have both text-back and an AI receptionist?

You would not want to. The receptionist answers the call, so there is no missed call left to text back. That is why our all-in plan includes the receptionist, the website and the review automation, and does not list missed-call text-back as a feature. Anyone selling you both together is selling you one thing twice.

Does the AI receptionist sound like a real person?

It sounds like a competent, clear phone voice. It is not a person and we do not pretend otherwise. Ring the demo line and judge it with your own ears before you buy, because that is the only test that settles it.

What happens if the AI cannot answer a question?

It takes the details and texts you a summary rather than inventing an answer. That is the correct behaviour and it is worth testing on any product you are considering. An AI receptionist that confidently makes up a price is worse than voicemail, because voicemail never quoted anyone $200 for a job that costs $900.

Is a text-back not just a worse version of a receptionist?

It is a cheaper version that does less, which is not the same thing. For a sole trader missing eight or ten calls a month, the text-back captures most of the available value at less than half the price. The receptionist earns its money when call volume is high enough that a written queue becomes its own burden, or when your callers genuinely will not text.

How do I know which one I need?

Count your missed calls for two weeks. Under about ten a month, take the text-back. Over about thirty, and especially if your customers are older or the work is urgent, the receptionist starts paying for itself. In between, start with the text-back and upgrade if the replies pile up faster than you can work them.

Can I start on one and move to the other?

Yes, and it is the order we would suggest. Both plans are month to month with no lock-in, so starting on the cheaper one and moving up costs you nothing but a conversation. Going the other way, buying the expensive one first and downgrading, means you paid for capacity you never used.
